Define the home, occupants and project condition.

Record the address, property type, measured-area basis, possession status, current condition, rooms in scope, occupants, accessibility needs, daily activities, storage, retained furniture and equipment, essential outcomes and preferred completion date. Distinguish a new-home fit-out from an occupied renovation, repair-led project or partial refresh because survey, protection, temporary living, demolition and concealed-condition risk differ. Attach available plans but label unverified dimensions. Give every candidate the same starting information and identify which decisions are fixed, preferred or unresolved before asking for a concept, fee or programme. Choose the appointment and delivery route explicitly.

A residential interior designer may provide briefing, space planning, design development, technical information, selections and periodic design review. An architect may address architectural interfaces and wider consultant coordination. Procurement, project management, contractor appointment, construction supervision, direct supply, design-and-build and turnkey execution are separate responsibilities unless the proposal states otherwise. Ask who surveys, designs, prepares each drawing and schedule, coordinates specialists, obtains prices, orders products, manages contractors, reviews work, records defects and assembles handover information. Put owner, designer, architect, consultant, contractor and direct-vendor duties into one responsibility schedule.

Test comparable residential evidence and the named team.

Start with the published sectors and official project sources, then ask for two completed homes comparable in type, scale, existing condition, customization and delivery model. Record completion period, approximate scope, the practice's exact role and whether the proposed lead worked on them. Images can support a published project but do not prove budget control, programme, build quality, technical scope or client experience. Request role-appropriate examples such as redacted plans, schedules, specifications, tender documents, site records or handover outputs where confidentiality permits. Verify references and performance claims directly rather than inferring them from styling, awards, follower counts or a “best” label.

Establish building, survey and specialist interfaces.

Obtain current society, landlord or building requirements for surveys, approvals, deposits, insurance, contractor entry, working hours, lifts, loading, storage, protection, debris and shutdowns. Record what is confirmed and what remains an allowance. Ask the professional to identify structural, waterproofing, plumbing, electrical, mechanical, fire, accessibility, acoustic, automation, kitchen, lighting or other specialist input relevant to the proposed scope, then confirm responsibility with the appropriate party. Compare design outputs, selections and procurement controls.

Keep construction, fixed furniture, loose furniture, appliances, décor, direct purchases, building charges and contingency separate from the design fee. Mark every work amount fixed, measured, provisional, excluded or client-supplied so a low total is not rewarded for omitted scope.

Control programme, changes, payments and handover.

Build the programme from access, survey, brief approval, design decisions, building review, specialist inputs, pricing, long-lead selections, procurement, site release, construction, inspections, testing, snagging and handover. Assign each dependency an owner and evidence of closure. Define who may approve drawings, samples, substitutions, additional cost and additional time, and require a written change record before affected work proceeds except under an agreed emergency process. Link payments to accepted deliverables, verified procurement or completed work. At closure, reconcile variations and measured work, record defects and collect the agreed warranties, manuals, keys, schedules, tests and final drawings.
