Architecture appointment guide

Decide whether the project needs architecture, interiors or both.

Define the property, existing condition, proposed changes, users, scope, building interfaces and desired delivery route before comparing names. An interior appointment may focus on planning, finishes, fixtures and interior technical information. An architecture appointment may also address building fabric, external or common interfaces, wider consultant coordination and approval information, depending on the written scope. Neither label proves that every required service is included. Ask each candidate to identify what requires architecture, interior design, engineering, specialist advice, building review or another responsible party.

Verify the responsible individual, not only the practice name.

A practice can publish architecture and interior work, but a company or studio name is not an individual registration record. Identify the person responsible for architectural services and verify current registration through the relevant official Council of Architecture record where the title or function matters. Record the legal or trading entity issuing the proposal, the contracting party, the named project lead and who signs or takes responsibility for each output. Directory inclusion does not establish registration, licensure, approval authority, insurance, employment or responsibility for a proposed appointment.

Test comparable project evidence and the exact role.

Ask for two completed projects comparable in building type, use, scale, existing condition, approval interfaces, services complexity and delivery model. Record completion period, approximate scope, the practice's exact appointment and whether the proposed lead worked on each one. Photography can establish a published project but does not prove technical scope, approvals, budget control, programme, construction quality or client experience. Request role-appropriate examples such as redacted drawing registers, plans, details, schedules, consultant matrices, tender information, site records or handover outputs where confidentiality permits.

Map consultants, submissions and review responsibility.

List structural, mechanical, electrical, plumbing, fire, accessibility, façade, waterproofing, acoustic, lighting, kitchen, landscape, technology or other specialist input relevant to the actual scope. Name who appoints, briefs, pays, coordinates and accepts information from each party. Separately record building, landlord, society or authority submissions, who prepares the information, who submits it, applicable fees and the evidence required before affected work proceeds. An architect may coordinate another consultant without assuming that consultant's design responsibility; write the lead, information, review and approval roles explicitly.

Compare stages, outputs and decision gates.

Issue one brief and service schedule covering survey, brief development, concept, developed design, technical information, consultant coordination, specifications, schedules, pricing or tender support, procurement input, construction-stage review, snagging and handover as required. For every stage, state the output, responsible author, included meetings or visits, client inputs, review period and written approval that closes it. Define revision limits and what constitutes an additional service. Broad phrases such as “complete architecture,” “interiors included” or “end-to-end” are not comparable until the deliverables and exclusions are listed.

Normalize fees, tenders and commercial interfaces.

Compare professional fees by stage, output, responsibility and included attendance, whether calculated as a lump sum, percentage, area rate, time charge or hybrid. State taxes, reimbursable expenses, consultant fees, submission charges, extra meetings, extra visits, redesign after approval, pauses and post-completion work. Keep design fees separate from construction, products and direct purchases. If the practice also provides procurement, project management or execution, identify the contracting entity, pricing basis, disclosed margin or fee, payment route and remedy. Preserve original proposals beside one normalized scope comparison.

Contract programme, change control and closure evidence.

Build the programme from surveys, existing information, brief approval, design decisions, consultant inputs, building or authority reviews, pricing, long-lead selections, procurement, site access, construction, inspections, testing, snagging and handover. Assign each dependency an owner and closing evidence. Define who may approve drawings, samples, substitutions, additional cost and time, and require a written instruction before affected work proceeds except under an agreed emergency process. Link payments to accepted outputs, verified procurement or completed work. At closure, reconcile variations and collect the agreed approvals, warranties, manuals, tests, schedules, final drawings and defect record.

Compare registration evidence, responsibility and stage outputs.

  • A practice name is not an individual registration record; identify the architect responsible for the appointment and verify that person's current registration through the Council of Architecture.
  • Review a completed project with comparable building, approval, services-coordination or interior constraints and ask what the listed practice actually delivered.
  • Define whether the appointment covers architecture, interiors, approvals, consultant coordination, tendering, procurement support and construction-stage review.
  • Ask which drawings, schedules and written approvals close each stage before cost or construction commitments proceed.
  • Give every shortlisted practice the same brief and consultant assumptions before comparing fees, programmes or team structures.
